Bookings is the working list of everything on your calendar, and the place you open any one of them to sort out a payment, a waiver or a change.
Find it: Essentials → Bookings.
Column 2 — Filters
The left column narrows the list before the tabs even apply:
- Search — by name, email or booking code.
- Offering — all of them, or just one.
- Status — all, or a single booking status.
- Assignee — Anyone, Unassigned, or a named team member.
"Nothing here" just means the current tabs and filters have no matches — clear them and the list comes back.
Column 3 — the list, then the booking
The list itself sits in the middle column, under two sets of tabs that answer two different questions:
- When — Upcoming · Today · Needs attention · Past · All, on the left, each with a live count. Needs attention is the chase list: any booking that still needs money or a signature before the guest arrives — it's pending, not fully paid, or its waiver is unsigned or still just sent.
- Whether they paid — Paid · Unpaid, on the right of the same bar. This is a separate filter, so it stacks with the tabs: Upcoming + Unpaid is the list somebody actually rings through. Unpaid means anything not settled in full — a deposit-paid, balance-due booking counts as unpaid.
Select any row to manage it. An open booking shows:
- Who — first name, last name, and email ("for their account and waiver").
- The money — Total with any Discount and Tax broken out, what's Paid, and the Balance due in warning colours until it's cleared.
- The waiver — whether it's been sent to sign, and once signed, View the signed waiver opens the exact record.
- Assignment and tasks — who on your team owns it ("Unassigned — pick someone"), plus a small task list on the booking.
- Notes — "Only your team sees this."
Column 4 — Actions
The right rail is what you can do to the selected booking:
- New booking — start one from scratch at the desk.
- Collect payment on anything unpaid — card on the reader, a payment link sent to their phone, or cash marked at the desk.
- Move it, resend its emails, or cancel it.
Common jobs
- Chase the money: set the tabs to Upcoming + Unpaid — that's the list worth ringing. Open the top row and use Actions to send a pay link or take the card; the list empties as the money lands.
- Morning sweep: the Needs attention tab is everything that isn't ready for its guest — unpaid, unsigned, or still pending. Clear it and the day runs itself.
- Check a group in: open the booking — the waiver line shows exactly who has signed and who hasn't. Anyone missing can sign at the kiosk on arrival.
- Move a booking: customers can move their own booking from their account, at the same price, until your change window closes (set in Settings → Free cancellation window). Cancellations and refunds stay with you, in Actions — refunds are issued through your own Square account.
